Often when speaking to a prospective client for the first time, they say, “My biggest problem is maintenance.” There is no maintenance checklist that applies to everyone, but one way my clients learn to maintain their files is to update their dated folders shortly after the new year. Last week an client invited me back for our annual January session where we do just this and more. In her case, she only has four folders that warrant the year on the label, but even still, it’s essential that these turnover with each year. If not, a few things can happen:
- 2017 documents have no place to land, so they land in a pile
- 2017 documents land in the 2016 folders, and subsequent years are likely to land here too. This is why I find overflowing folders with years' worth of obsolete documents.
Do you have annual folders that are in need of a 2017 update? Do you not have dated folders, but feel you should? Now is the time to set yourself up for an organized year. Friends, THIS is what file maintenance looks like!
